Over the last few months all of our lives have been disrupted by COVID19. Now that the present has settled a bit, we are looking to the future of meetings. As all of the hotel companies roll out their cleanliness initiatives, you might be wondering when we will start meeting again and if your attendees will be comfortable doing so.
If you haven't already done so, now is the time to poll your past attendees and key stakeholders. You can use that data to help guide your decision making process. I have some great templates to share if you need suggestions on what questions to ask in your attendee survey. Remember, knowledge is power. Each meeting attendee base is unique with their own sets of psychographics that will make them more or less likely travel.
Once you have your survey results you can use them to make a decision about the future of your meeting. There are three basic options right now regarding your quarter three and quarter four meetings; cancel, rebook, or hold it. You can cancel the meeting outright and pay cancellation fees based on your contract. You can rebook the meeting to another date or another rebook option for a large meeting is to see if the hotel will accept several smaller meetings in its place. If you decide to hold the meeting, ask the hotel to work with you on lowering the attrition amount and f&b minimum for performing your meeting at a reduced amount.
